Article 1 – General
1.1 Data controller

Orenta complies with this privacy statement in accordance with the European Regulation 2016/679 of April 27, 2016, concerning the protection of personal data.
Article 2 – Personal Data
2.1 Personal data you provide to us
Category 1: When visiting the Website without registration, we collect your IP address and essential cookies.
Category 2: When you contact us as a customer, prospect, or service provider and decide to provide Orenta with the following information, either directly or through a third party (see below), in any printable, written, or electronic form:
• Personal data: your name, first name, email address, phone number, mobile number, and address;
• Professional data: company name, company representative, company number, registered office address, legal form of the company, articles of association, annual accounts, information about shareholders, accountant's name, and VAT number.
Category 3: When you become a candidate tenant or tenant for whom Orenta acts as a property manager: your name, first name, address, phone and/or mobile number, bank account number, direct debit number, national register number, partner's name and email address, your employer, your net income, EAN codes of the meters, and energy and water readings.
2.2 Orenta can collect your data (Personal Data) in various ways:
- Through the use of cookies (see below);
- When you provide personal data on our Website;
- When you provide us with personal data necessary for entering into or executing a contract with you;
- We may also collect your data independently through searches in databases such as K.B.O., the national register, Checkdoc, social media platforms, or other online sources.
Article 3 – Purposes of Processing
3.1 General purposes
Orenta will use the personal data collected from you solely for the following purposes:
Category 1: Ensuring and improving this Website based on Orenta's legitimate interest in continuously improving its Website;
Category 2: Prospecting purposes and proper management of our customer portfolio with the legal basis of entering into and executing a contract you have requested on the one hand and the legal obligations to request certain information on the other hand.
Category 3: Smooth management of rental agreements and good communication with tenants renting a property for which Orenta acts as a property manager with the legal basis of executing a contract.
3.2 Orenta requests your consent
By subscribing to our newsletter, you implicitly give your consent to receive information about our services. Each newsletter contains an option to unsubscribe.
You can always withdraw your consent. Our contact details can be found under Article 5.6.
3.3 Transfer to third parties
Orenta will not sell, rent, distribute, or otherwise make your personal data commercially available to third parties, except with your prior consent.
For the execution of the rental agreement we have concluded with the tenants, we share their personal data with the owners of the properties and recognized underwriters of insurance products.
We share candidate tenants' personal data with property owners and authorized insurance underwriters.
3.4 Legal requirements
In rare cases, it may happen that Orenta must disclose your personal data pursuant to a court order or to comply with other mandatory laws or regulations. Orenta will reasonably attempt to inform you in advance, unless this is subject to legal restrictions.
Article 4 – Duration of Processing
Personal data is retained and processed by us for a period necessary depending on the purposes of the processing and depending on the contractual relationship between Orenta and you.
Orenta has legal retention periods that must be observed regardless of the purpose for which your data is used. In the case of a rental agreement, this means 5 years after the end of the collaboration.
We retain the personal data of candidate tenants for up to 2 years after the year of the application to rent a property.
Personal data of potential customers are retained by Orenta for 5 years unless there has been a contact moment with the prospect in the meantime. At that moment, a new period of 5 years begins, without prejudice to the right of the prospect to exercise his/her various rights regarding his/her personal data, such as the right to be deleted.
Article 5 – Your Rights
5.1 Right of access and inspection
You have the right to take note of your personal data at any time free of charge, as well as the use we make of your personal data.
5.2 Right of rectification, deletion, and restriction
You are free to provide your personal data to Orenta or not. In addition, you always have the right to request us to correct, supplement, or delete your personal data. You acknowledge that in case of refusal to provide or request to delete personal data, certain services and products cannot be delivered.
You also have the right to request restrictions on how your personal data is processed.
5.3 Right to object
You also have the right to object to the processing of your personal data for serious and legitimate reasons. In addition, you always have the right to object to the use of personal data for direct marketing purposes; in such a case, you do not need to provide reasons.
5.4 Right to free data transfer
You have the right to obtain your personal data that you have provided to us and that is processed by us in a structured, commonly used, and machine-readable form and/or to transfer it to other controllers.
5.5 Right to withdraw consent
To the extent that the processing is based on your prior consent, you have the right to withdraw that consent.

This can (but does not have to) include a copy of your identity card. Ensure that your photo and identity card number are obscured to safeguard your privacy.
5.7 Right to file a complaint

This does not affect the provision of a civil court. If you suffer damage because of the processing of your personal data, you can file a claim for compensation.

We have developed security measures that are adapted on a technical and organizational level to prevent destruction, loss, falsification, modification, unauthorized access, or accidental notification to third parties of collected personal data, as well as any other unauthorized processing of these data. Where personal data is collected and processed, the information is transmitted in encrypted form to prevent data misuse by third parties. Our protection measures are continuously reviewed and updated in accordance with the latest technology.
6.2 Liability
In no case, Orenta can be held liable for any direct or indirect damage resulting from incorrect or unlawful use by a third party of the personal data.
6.3 Security instructions
You must always comply with the security instructions, including preventing any unauthorized access to the Website. You are solely responsible for the use made from the Website of your computer, your IP address, and your identification data, as well as for their confidentiality.
